Extension Voice-Menu Recording

Recording an Extension Voice Menu

  • A Voice Menu is only needed on extensions that are shared among several users or because they are departmental extensions with a menu.
  • If the extension voice menu recording is wrong or missing, the callers will not know what number key to press to reach the desired mail box, or sub menu.
  • Changing the menu recording does not change the menu options, or vice versa.
  • Only one user, called the Extension Recorder, has access to record the extension menu.
  • IT will inform the Extension Recorder what key number corresponds to each user, or sub menu.
  • Knowing your Extension Recorder ID number and password will be needed to record the voice instructions.
  • The IT department creates the menu options as requested by the department, but does not provide the recording.

Verifying your Extension Recorder ID number and password

  1. Dial ext. 4599 (from off-campus dial 323-953-4599).
  2. When the greeting is being played, press the star (*) key.
  3. When prompted for your ID number, enter your ID number followed by pound (#) key.
    Your ID number is usually the same as your voice mail number.
  4. When prompted for your password, enter your password followed by the pound (#) key.
    If this is the first time logging, use the default password.
  5. After successfully logging on, change your password. That is all you need to do.
  6. To exit press the start (*) key.

WARNING: Changing the extension voice menu recording does not change the extension menu options. If both do not match, the callers will not be able to leave messages. Only IT can change the menu options.

Instructions for Extension Recorder
  1. Dial ext. 3000.
  2. When prompted for your ID, enter your ID number followed by the pound (#) key.
    (Do not enter the extension number you want to record a menu for)
  3. When prompted for your password, enter your password followed by the pound (#) key.
  4. When prompted for the call handler ID, enter the call handler ID followed by the pound (#) key.
    (In most cases, this is the extension # you want to record a menu for)
  5. After successfully logon, you can choose from several options.
    The only recording you need to do is the standard greeting (Press 2).
    • Press 1 to turn on alternate greeting.
    • Press 2 to change standard greeting.
    • Press 3 to change busy greeting.
    • Press 4 to change close greeting.
    • Press 5 to change internal greeting.
    • Press 6 to change alternate greeting.
    • Press the * (star) key 3-times to logout and exit.
