BEFORE DEPARTURE OF LACC
1)
The
breezeway between the Business Office and the
Counseling Office on Heliotrope Avenue will be
the official departure and arrival point for all
field trips.
2)
Field
trip guides should meet students at the
Breezeway 15 minutes prior to departure.
3)
Handout
Field Trip Request and Release Form to
students and request that they complete both
sides of the form, especially the section
requesting a cell phone or beeper number. It is
not mandatory that the student completes the
medical section, however, an emergency contact
person is required.
4)
Only
actively enrolled LACC students can embark on
the bus. Friends, children, parents, etc are not
permitted to ride on the bus, unless the student
requires special assistance/accommodation by
another individual. In this case, have the
escort complete a Field Trip Request and
Release Form and note on the top of the form
that the individual is serving as an escort and
state the reason(s).
5)
Collect
Field Trip Request and Release Form from
student as they enter the bus.
6)
Out loud
and collectively, review the first paragraph of
the Field Trip Request and Release Form.
Reinforce the time of departure from the
designated location and emphasize that if the
student fails to follow instructions he/she will
be responsible for their own transportation back
to LACC.
7)
Emphasize
the importance of not spending all their money
on food or souvenirs. Students should always
keep a few dollars in their pocket in case of an
emergency or a bus ticket back to LACC.
8)
Synchronize your watches so everyone has the
same time. Encourage students without a watch to
pair up with a student with a watch so they can
monitor the time.
9)
Encourage
students with cell phones and beepers to keep
them on at all times (unless instructed to turn
them off by tour guide) in case of an
emergency.
EN
ROUTE TO DESTINATION
1)
Tour guides,
make sure that you have a completed Field
Trip Request and Release Form for
every participant, the bus company’s telephone
number, bus number, and if available the cell
phone number of the bus driver with you
throughout the tour.
2)
Record the
departure time from LACC on the Field Trip
Guide Instruction Sheet.
UPON
ARRIVAL OF DESTINATION
1)
Set the
designated return time 10-minutes prior to
actual departure time. Please be firm with the
time of departure. Under no circumstances should
you negotiate a new departure time with
students.
2)
Confirm the
meeting area and bus number with the bus driver,
and notify students.
3)
Record the
arrival time on the Field Trip Guide
Instruction Sheet.
DEPARTURE
AT DESIGNATED LOCATION
1)
Tour guides
must arrive at the bus 15 minutes prior to
departure time to greet the students upon
arrival.
2)
Routinely,
the tour guide will take a head count to
determine if everyone is present. Role should be
taken to confirm attendance.
3)
At the time
of departure, everyone should be on the bus and
ready to return back to LACC.
4)
If a student or group of
students is missing at the time of departure,
check the Field Trip Request and Release Form
for a cell or pager number. Contact student(s)
to determine location. If no cell or pager
number is available, proceed with departure
unless the field trip is more than 60 miles
away from LACC. If this is the case, the tour
guide will wait an additional 15 minutes prior
to departing.

Record the
departure time on the Field Trip Guide
Instruction Sheet.
STUDENT
REQUESTS TO REMAIN AT DESIGNATED LOCATION
1)
If the
student is over the age of 18 and is requesting
to remain at the designated location, please
have the student complete the Personal Request
box on the backside of the Field Trip Request
and Release Form stating their intention to
remain at the designated location. Have student
sign and date their statement.
STUDENT
INJURY
1)
Depending on
the severity of the injury, determine if student
needs medical attention.
2)
If the
student does not have medical insurance but
needs medical attention, inform the student that
the Los Angeles Community College District will
cover their medical expenses. (Do not share this
information with students, only during the time
of emergency and after discovering that the
student has no medical insurance.)
3)
On a separate
piece of paper, document the location, time and
specific details of the injury. Please note
names and telephone numbers of any witnesses.
4)
On the next
working day, please notify the Dean of Student
Access and Retention of the injury and complete
an Injury Report at the Sheriff’s Department.
The Sheriff’s Department will follow up with the
student and forward the documentation to Ms.
Kemba Olabisi, Risk Manager at the District
Office for further investigation. If the student
returns to you with the medical bill, have
him/her contact the District’s Risk
Manager.

In addition to cultural
events and workshops, TRIO provides fieldtrips
to 4-year private and public universities every
fall and spring semester. Some of the popular
Cal States that are attended by many LACC alumni
such as CSULA, and CSUN are visited each spring
semester. TRIO participants are strongly
encouraged to inform staff of universities that
would be of particular interest to them. Past
fieldtrips have included UCLA, Occidental
College, Woodbury University, Cal State Long
Beach, Cal State Dominguez Hills, UC Santa
Barbara. Fieldtrips are announced in the
monthly TRIO/SSS Newsletter. Students who sign
up are contacted the night before as a
reminder. Participants must sign a Field
Trip Request and Release Form prior to
visit. To get a sense of how well this
university was received by our students, a
Fieldtrip/Cultural Event Evaluation form is
completed at the end of the event.
TRIO/SSS will provide for
participation meals to field trips.
